Quick start: your first schedule in 3 steps

  1. 1 Create a free account (recommended) or start a 7-day demo from the homepage. Named calendars, teams, and billing live on your account. Demos are deleted after a week.
  2. 2 Add layers and events. Make sub-calendars per team, room, or person, then click or drag on the calendar to place an event.
  3. 3 Share safely. Under Manage → Share links, create a read or admin link. Recipients do not need an account. Or invite colleagues as team members.

Using your calendar

Views

Switch at the top between Month, Week, 4 Weeks, Day, List, Table, and Tiles.

Navigate

Use the arrows and Today, or click a date in the mini month to move the main view there. Drag or Shift-click to keep a range. Colored dots mark days that have events; clicking a dotted day does not open events — pick them in the main calendar.

Layers (sub-calendars)

In the sidebar, toggle layers with the eye icon. All on/off flips everything at once.

Search

The search field in the sidebar filters events by title and location as you type.

Managing events

  • Create — the sidebar button still opens an event. The arrow next to it (and the + on phones) opens Event, Task, Birthday, Out of office, or Appointment schedule. Click or drag an empty slot to make an event. A selected mini-month day is the start; a range becomes start and end. With no selection, the next full hour is used.
  • Types — Event is a time block. Task is a due date you can tick off on the chip. Birthday is all-day and repeats yearly. Out of office marks you away. Appointment schedule opens Manage → Booking so others can pick a slot (same self-booking page as before).
  • Click an event to open it in view mode under the top bar. If you can edit, press Edit event. Save and Cancel sit at the bottom of the panel — scroll the form if needed. Cancel discards unsaved changes.
  • Repeats — Daily, Weekly, Every 2 weeks, Monthly, or Yearly.
  • Location — type an address, pick a suggestion; a map and Maps link appear.
  • Reminders — 24 hours or 1 hour ahead, or extra reminders in minutes.
  • Attachments — Premium accounts can attach files (up to 25 MB) to an event.
  • Comments — discuss the event at the bottom of the inspector.

Sharing & permissions

  • Share links — Manage → Share links. Permissions: read, add, or admin. Tokens are stored hashed.
  • Teams & invites — invite by email under Manage → Teams. Roles: viewer, editor, admin. The page saves live so the calendar sidebar stays in sync.
  • Access matrix — per team and sub-calendar: none, view, or edit.

Name & description

On the dashboard, the pencil icon edits name and description. The same fields live under Manage → Overview.

Sync & backups

  • Subscribe (recommended) — Manage → Sync & backup → create an iCal feed, copy the URL once, then add it in Google (Other calendars → From URL), Apple (File → New Calendar Subscription), or Outlook (Add calendar → From internet). That app shows TeamLinkUp as a separate subscribed calendar. It cannot change or fill your existing Google/Apple events.
  • Export/import — download .ics for any calendar app, or a JSON snapshot for TeamLinkUp. Importing into TeamLinkUp previews first, then merges. Same UID updates a previous import; native events are never overwritten. Restore JSON only adds; it never wipes.
  • Pull in (Premium) — paste the secret/public iCal URL from Google or Apple. Events land on a dedicated “Imported — …” layer. We never write back. An empty or failed fetch leaves existing imports in place.

Self-booking & embed

  • Enable the booking page under Manage → Booking & embed. Create (or reuse) the booking link, copy the /book/ URL, and share it. TeamLinkUp checks conflicts and can require captcha. Bookings become TeamLinkUp events only — they do not push into Google or Apple.
  • Copy the iframe snippet on the same tab. The embed is read-only. Rotate the link if it leaks; revoke old share links under Share links.

Account & security

  • Two-factor authentication under Account → Security. Store recovery codes.
  • Sessions — see signed-in devices and sign others out.
  • Preferences — language, System/light/dark (System follows your device), stock skins, font, density, timezone, week start. Premium: contrast per layer (background, foreground, panes, lines).
  • Looks — Account → Looks. Premium saves and applies named UI profiles. Free can open the tab and sees the upgrade path.
  • API — Account → API. Create a read-only key (shown once). Use Bearer auth on GET /api/v1/calendars and events.
  • Billing — Account → Billing. Upgrade, invoices, and the Stripe portal. The API tab stays in the same menu.

Logo and team notices

  • Premium: upload a PNG, JPEG, WebP, or SVG (256 KB) under Manage → Overview. Open that calendar — the logo sits in the middle of the top bar (or wherever you put it under UI builder → Brand). Share links show the same branding.
  • Premium: add short notices (3 on Premium, more on Enterprise) under Manage → Overview. They are numbered there. UI builder → Notice banner ticks which bars show a banner (top bar, command bar, sidebar, above the grid). Each bar fills leftover space and can run a different list. Hover or focus pauses. Reduced-motion is static.
  • Manage → Teams & invites now saves teams, layers, and invites without a full reload, so the calendar sidebar stays in sync.

Looks & UI builder

  • Free: open the palette in the top bar. Preview System/light/dark, a built-in skin, and an accent, then Apply (always visible at the bottom of the menu). Clicking away cancels the preview. New accounts default to System so they match the device.
  • Premium: the same menu has UI builder. You can also open Account → Looks.
  • Regions — top bar, side menu, calendar bar, canvas, days bar, event panel, menus. Set fill, text, line, shadow, outline, or transparency. A contrast warning appears when text may be hard to read. Reset a pane to inherit the skin.
  • Layout — sidebar left/right/width, inspector as drawer or dialog, reorder blocks (create, search, mini month, layers, jump). Phone layout stays compact.
  • Looks profiles — load a profile, change one color, then Save changes (updates that profile) or Save as new. Apply writes it onto a calendar (one, or all you manage). Saving a profile does not change calendars until you apply it.
  • Picking a skin in the compact menu or UI builder Look tab restores every pane to that look and drops custom pane colors.
  • Reset (next to Apply in the compact palette and on the Look tab / builder footer) clears custom pane colors so built-in skins apply again on click. Apply still publishes the current look.
  • Viewers and embeds see the published look. They cannot open the builder.
  • If Premium lapses, published looks stay on the calendar but editing locks until you upgrade again.

Frequently asked questions

Why did a calendar show READ when I own it? +

Those badges were share-link permissions, not yours. Owners always have full rights. Link permissions live under Manage → Share links.

How do I create an event quickly? +

Click a day (or drag a range) in the mini month, then New event — or drag an empty slot in the main view. Clicking a dotted mini-month day only jumps the main calendar; open events there.

Can someone without an account see my calendar? +

Yes — share a read link. Viewers never need an account. To keep a calendar you create, sign up free. Homepage demos expire after 7 days.

What is a demo calendar? +

A 7-day playground from the homepage: events, skins, and a try-out of the UI builder. Captcha and IP limits stop spam. Sign up free to claim it onto your account before it is deleted. Saving Looks profiles still needs Premium.

How do I connect Google or Apple Calendar? +

Manage → Sync & backup, create an iCal feed, paste the URL in Google (From URL) or Apple (New Calendar Subscription).

A teammate cannot see my calendar. +

Check Manage → Access matrix for at least view on the right layers. Invites must be accepted.

I forgot my password. +

Use Forgot password on the login page, or the contact form.

How do I turn on 2FA? +

Account → Security → Enable 2FA. Scan the QR code and store recovery codes.

I am not getting TeamLinkUp email. +

Check spam. Reminders and invites come from the configured noreply address. Use the contact form if it keeps failing.

Can I change calendar colors? +

Free: top-bar palette — System/light/dark, built-in skins, accents, then Apply. Premium: pick a layer (background, foreground, panes, lines) and move contrast so that layer pops or recedes; UI builder and Looks for pane colors and layout. Phone: tap a skin, long-press an empty day to add an event, tap an event to open it, scroll with one finger.

What happens if I cancel Premium? +

Calendars keep working on Free. Extra layers, seats, and feeds above Free limits become read-only. Custom looks stay visible but the builder locks.
